Summary

The Grain Merchandising Assistant supports the Global Grain Marketing team by coordinating administrative and contract management activities associated with international grain export programs. Based in Guadalajara, Jalisco, Mexico, this role works closely with internal business partners and external stakeholders to ensure accurate contract administration, timely customer communications, and exceptional customer service. The position plays a key role in supporting customer onboarding, contract administration, and export program coordination while maintaining compliance with company policies and procedures.

Responsibilities

  • Support daily administrative activities related to international grain marketing and export programs.
  • Coordinate with grain merchandisers, grain accounting, ocean freight, hedge desk, credit/risk teams, and external stakeholders to facilitate business transactions.
  • Process and manage pricing activities, contract overfills/underfills, and rolling procedures.
  • Create and amend customer contracts within company software systems.
  • Review contract terms and ensure accuracy of documentation.
  • Deliver electronic contracts, promissory notes, and related documentation to customers and track completion of required signatures.
  • Assist with preparing customer onboarding and marketing documentation for new accounts.
  • Coordinate the distribution and collection of supplier forms, surveys, certifications, and other trade-related documentation.
  • Provide exceptional customer service to internal and external stakeholders.
  • Promote a strong safety culture by following company safety policies, identifying workplace hazards, and supporting a safe work environment.

Minimum Qualifications (required)

  • Knowledge of Administrative Assistance and Support
  • High School diploma or GED
  • Bi-lingual; fluent in English and Spanish (both verbal and written)

Additional Qualifications

  • Bachelor's degree in Business, Marketing, Engineering, Agricultural Business, Agricultural Economics, or a related field.
  • Strong attention to detail and commitment to accuracy.
  • Strong analytical and numerical aptitude.
  • Fluent in both English and Spanish, with strong written and verbal communication skills.
  • Excellent interpersonal skills with the ability to build relationships across multiple functions.
  • Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
  • Ability to manage multiple priorities in a fast-paced environment while maintaining a high level of organization.
