Summary
CHS has an exciting opportunity for a Fleet Compliance Analyst within our Fleet Services team. This role ensures DOT-regulated fleet assets are properly registered, permitted, inspected, documented, and audit-ready across all operating jurisdictions. The position executes and coordinates fleet compliance activities, maintains accurate records, tracks exceptions, supports regulatory reporting including IFTA, IRP, and HVUT, and partners with Fleet Governance & Services leadership, Fleet Enablement, Asset Utilization, Operations, Maintenance, Finance, Tax, Safety, IT, external agencies, permitting vendors, compliance service providers, and auditors to minimize compliance risk and prevent operational disruption. This individual will be managing fleet compliance for 7,000 assets, 3,000 of those assets are trucks.
Responsibilities
- Manage asset licensing, registrations, renewals, tags, plates, and permits across operating jurisdictions
- Prepare and submit fleet-related regulatory reporting, including IFTA, IRP, and HVUT filings, while maintaining supporting documentation
- Monitor DOT inspection and maintenance compliance, including annual inspections, DVIR defect documentation, corrective action closure, and audit-ready records
- Conduct internal asset compliance audits, track exceptions, support DOT or third-party audits, and coordinate corrective actions
- Maintain organized, accurate, and retrievable compliance records that meet federal, state, and CHS documentation standards
- Develop and maintain compliance dashboards, monitor expirations and exceptions, analyze trends, and prepare reports for leadership
- Serve as a central point of contact for asset-related compliance matters and provide guidance to internal stakeholders
- Coordinate with internal teams and external agencies or vendors to resolve registration, permitting, reporting, audit, or documentation issues
Minimum Qualifications (required)
- High School diploma or GED
- 2+ years of experience in fleet administration, transportation operations, logistics, or compliance support.
Additional Qualifications
- Associate or bachelor’s degree in Transportation, Business Administration, Supply Chain, Logistics, or a related field preferred
- Working knowledge and/or professional training/certifications related to DOT regulated fleet requirements, IFTA/IRP, registrations, or permitting preferred
- High level of attention to detail, analytical ability, and process discipline to manage exceptions, audits, and recurring compliance deadlines.
- Ability to clearly communicate compliance requirements, coordinate corrective actions, and support audit readiness across diverse operational stakeholders.
- Experience performing or supporting compliance audits, exception tracking, and document control activities
- Experience working cross‑functionally with Operations, Maintenance, Finance, Tax, Safety, or external regulatory agencies to resolve compliance issues.
- Experience in Microsoft Office Suite, specifically Excel, and Power BI are a highly preferred
