Summary

CHS has an exciting opportunity at our Oil Refinery facility in Laurel, MT.  We are looking for an EH&S Administrative Assistant to provide administrative and clerical support to relieve and assist management and staff in administrative tasks.  You must be a detail-oriented, results-driven individual with a commitment to quality, accuracy, and the ability to organize and prioritize workloads to meet deadlines. Excellent communication skills, both verbal and written, with the ability to work in a team environment and on self-directed tasks are essential. 

Responsibilities

  • Develop a practical knowledge of departmental and company policies and procedures to gain specialized skills in a variety of processes and activities.
  • Effectively and professionally communicate with all levels of the organization.
  • Assist with development of KPIs.
  • Oversee certain aspects of the Prism and Enablon Software Suites residing in the Refinery Environmental, Health & Safety Department.
  • Maintain accurate records for the Safety Incentive Program (SIP) entering all employee SIP records by category and dates into the database. 
  • Assist Refinery Environmental, Health, and Safety personnel in scheduling and conducting hearing testing and respiratory fit testing and complete appropriate records.
  • Completes necessary updates to Everbridge Call Out System and provides accurate telephone information for emergency response.
  • Assists Emergency Response Coordinator in maintaining the EH&S One Plan and associated training.
  • Compile data necessary for completion of routine environmental reports.
  • Identify and implement opportunities to improve efficiency to existing workflows and processes.
  • Establish, build, and maintain relationships with other administrative staff providing backup functions.
  • Perform various administrative duties as needed to support the various departments and employees.
  • Direct telephone calls, screen mail, and coordinate meetings, presentations, and conferences. 
  • Plan and oversee the transfer of archived information following record retention policies.
  • Maintain a high level of confidentiality working with employee records and information.
  • Proficient computer skills (Microsoft Office) and other refinery-specific software with ability to learn new tools.
  • Must have excellent customer service skills and problem-solving.
  • Maintain and promote a strong safety culture and follow all safety policies, procedures, and regulations. Identify and communicate workplace hazards and correct or seek assistance in correcting unsafe actions or conditions.

Minimum Qualifications (required)

  • 2+ years of experience in Office and Administration Support
  • High School diploma or GED

Additional Qualifications

  • Computer skills in refinery-specific software (SAP; Prism, Enablon, SharePoint)
  • Proficient in Microsoft Office suite
  • Strong communication skills, both written and verbal

Actual pay offered will vary based on multiple factors which may include, without limitation, experience, education, training, specialized skills and certifications, minimum wage/salary requirements under local law.
